Welcome to Our ARBITER Instructions Page

 

ARBITER is our short version word for ArbiterSports which is the web site where officials’ assignments are posted.  It is an inter-active site where both the official can get his games and the school personnel can find out who is coming to their gym to referee the game.

I put this page on line to help the new user log on to our Assignment Web Site with ease and then be able to navigate through the program with confidence.  Take a moment to look at the Menu below and find the Procedure that you need a little help with; then scroll down to that section under the Instructions.

Definitions for the Menu:  Official refers to a Referee;  Contact refers to a School Personnel such as Athletic Director, Coach or Bookkeeper

Officials should scroll to Menu Items 1 through 4. 

Contacts or School Personnel should scroll to Menu Items 5 through 8. 

Tips in 9 & 10 apply to both Officials and Contacts

Instructions

 

I  New Official Log In Instructions  - This section is for Officials that have never been on the ARBITER before;  you have just been invited to join the staff as either a first time official or you have transferred to our area and was not a member of a previous organization that used the ARBITER for their assignments.

Before you can do anything,  you have to fill out a registration form and send it to me. I will take the information off your form and set up a profile in the ARBITER.  You can not enter the program until I set you up from my computer as well as give you Permission to Enter.  Once I had completed that task,  I will notify you to try to enter the web site.

The address of the ARBITER assignment web site is:   www.arbitersports.com     You should put that address in your internet browser.  Once the site comes up, you should save this location to your FAVORITES because you will be going to this site over and over.  Saving it to your FAVORITES will save you an enormous amount of time on future trips to the site. Don’t worry about anything on this opening ARBITER page except the SIGN IN Box up at the top right hand corner on the same line with ArbiterSports.  Enter your email address  in the SIGN IN box and your password the first time you enter is your last name in small letters.  Before you hit the GO button, take your cursor and place it over the REMEMBER ME box and click.  This will put a check in that box and will let you by-pass this page every time you enter the program in the future.  Now Click on the GO button.   Ah, we are in , well almost. The program may show you a TERMS and CONDITIONS page the very first time you enter.  Once you click ACCEPT or YES,  this page will not display again.  The next thing the program will do is ask that you change your Password.  Do not use any passwords that are on your email accounts or bank accounts.  This is a Basketball web site, use something simply that you can remember. Change your password and you will be in the site. Hey, you are in.  We will talk more in another section.  Now this is important,  when you get through and are ready to leave the program, do not use the SIGN OUT button if you are on a computer at home.  If you hit the SIGN OUT button,  you will have to put all that information in the SIGN IN box the next time you enter.  To quit and get out of the program,  simply X out at the very top of the web page like you do any web page.  By Xing out, the next time you enter, the computer will skip the log in process and go straight in to the program from your FAVORITES button. The SIGN OUT button should only be used when you are on a public computer such as the library or at a friends house.  You definitely should hit the SIGN OUT button then.

 

II. - Official already in ARBITER under another Assigner and Needs to Join Our Group – This section is for officials that are already working for a Booking Agent who uses the ARBITER to get your assignments to you like baseball or volleyball.  You are basically familiar with how the ARBITER works but you need to get hooked up to our Basketball Organization.

Before you can do anything,  you have to fill out a registration form and send it to me. I will take the information off your form and set up a profile in the ARBITER.  You can not enter the program until I set you up from my computer as well as give you Permission to Enter.  Once I had completed that task,  I will notify you to try to enter the web site.

Since you are already a member in someone’s program,  you should enter the ARBITER as you normally would for the other assigner including the password you already have established. Once you are in after I have set up an account with our group, the ARBITER will tell you that another group has asked if you ACCEPT being a part of Group 101318, Eastern Officials Association, Tommy Mattocks.  You should ACCEPT or answer YES.  Now the program will let you in.  You can toggle from one assigner to another with the SWITCH VIEWS button at the top of the page.  You will get our games  in the same manner that you get your other assigner’s games.

 

 

III. Official Needs to ACCEPT games – The Assigner will give you a game by posting it on the ARBITER assignment web site. You must go into the program and ACCEPT each game assignment.  Once you ACCEPT the game, That is the Assigners way of knowing that you received the assignment,  you know about the game and you will be there to work the game.  This section will explain the steps and procedures to ACCEPT your game assignments.

 

Log in to the Program.  At the MAIN page, click on SCHEDULE, this will take you to your Basketball game schedule.  Your games will be listed informing you  of Game Number, Your Position in the crew, The Date and the Time, The Sport and the Level, the Site of the game, The Home Team, the Away Team, and a status column.  In the Status column, there is an ACCEPT box and a DECLINE box.  You should place your cursor over the ACCEPT box and click, thus placing a check in the box.  Then scroll down to the bottom of the schedule and click the SUBMIT button.  You just accepted your game and that tells me you know about the game, you know who your partners are, you know where the game will be played and you know the date and the time. ACCEPTING the game assures me that you will be there. One other feature on this page,  by clicking on the Game Number,  the screen will change and show you the crew members as well as there phone numbers.  Remember, phone calls are to be made for every game  and here is the convenient place to locate that number.   

 

IV. - Official Needs to Block Dates – Every official has dates he can not work for one reason or another.  His job might not let him off on certain days; the company Christmas Party is coming up and you are expected to be there; or you got married on Dec 15 and your spouse does not want you working a ball game that night. Blocked dates or Closed dates are your way of telling the assigner that you can not take a game on a specified date.  For both your convenience and the Assigner’s convenience,  you should decide which dates you can not work well ahead of time and block them out in the ARBITER program. This section will explain how you should Block the dates you can not work in the ARBITER.

The first thing you should know is that closed dates or blocked dates go in two places.  You should email them to me and you should put them here in the ARBITER.   From your MAIN page, click on BLOCKS in the tool bar.  When the screen changes to the calendar,  look over in the left hand column, you will see MAIN and under that will be Dates, then ACTION.  We do not block partial days.  Our games start at 4:00pm  for high school JV and 6:00pm for High School Varsity and for recreation ball.  If you can’t make those times, you should block the whole day. Place the cursor over the BLOCK ALL DAY and Click.  This puts the dot in that block.  The month of the calendar you see is listed in the middle.  If that is the month of the date you want to block, simply click on the day in that month.  In that is not the month, to the right is the next month and to the left is the previous month.  Move the calendar until you get the month you want.  If you placed the dot in the BLOCK ALL DAY box, when you click on the date in the calendar,  it will turn red. If it turns red, you have successfully blocked that date.  Now EXIT and you are back to your MAIN Page. To later unblock dates, place the dot in the CLEAR BLOCKS and click on the date you want to unblock.

 

V. - New Contact Log In Instructions – This section is for the school personnel that are unfamiliar with the Program and are trying to log in for the first time. You are the Bookkeeper or you need to get the names of the officials to the Bookkeeper so she can write checks.

VI. – Contact already in ARBITER under Baseball, Volley, etc and Needs to Join Our Group – This section is for the school personnel who are already using the ARBITER working with an Assigner in another sport such as Baseball, Volleyball or Soccer and you need to get in our Basketball group to get the names of the officials.

Before you can do anything,  I must have your name and your email address. I will take that information and set up a profile in the ARBITER.  You can not enter the Basketball program until I set you up from my computer as well as give you Permission to Enter.  Once I had completed that task,  I will notify you to try to enter the web site.

Since you are already a member in someone’s program,  you should enter the ARBITER as you normally would for the other assigner including the password you already have established. VII. – Contact Needs to See Game Schedule – This section gives instructions for finding your game schedule once you have entered the ARBITER web site. You might just want to see if you have a game scheduled or you may want to look at your up-coming games. 

From your MAIN page, click on SCHEDULES.  To see all your games,  On the SITE line, click on the Number under the games column. This new screen will show you all the games I have on my schedule for your school including the date and the time plus the level (Varsity or JV), who the opponent is and the last column will quickly tell you if I have assigned that game yet.  If there is a 2/2 or a 3/3,  the referees have been notified and are in that game.  If there is a 0/2 or a 0/3, there are no referees in that game yet.  I probably have not got around to making that assignment at this time.  The color in that last column tells a story too.  I am color blind so I can’t tell you what color it is but;  if it is dark,  all the officials in that game have been notified and have accepted the assignment.  If the numbers are light,  at least one official has not been on the internet to see that he has a game.  When all officials accept the game, it will turn dark.  From this page, clicking on that number 2/2 or 3/3 will actually show you who the officials are.  This is not the screen where your bookkeeper will write checks because this screen only shows the names and the game fee amount and is not printer friendly..  For writing checks, see next item.    

 

VIII. – Contact Needs to Print Game with Officials and Fees Listed – This section contains instructions for printing game assignments so the Bookkeeper knows who to pay, how much to pay and has a record of that transaction for the Auditors. This is the item for the Bookkeepers.

From the MAIN page, click on SCHEDULES. Bookkeepers should work off the top line which is the BILL TO Line.  All the way to the right are two icons.  One is a PRINTER Icon and the other is a DOLLAR Icon. You should click on the PRINTER icon for printable assignment slips that you can save for your records.  Click that PRINTER Icon. You are now on a PRINT SCHEDULE Screen and it is giving you a date range. Basically, it is asking  if you want to print one game or a bunch of games.  I recommend one game at a time since the officials could possible change; however I understand there will be times when either the Principal or the Bookkeeper will be gone and checks for several games may need to be written.  If you know you have a game on Tuesday and that is the only assignment you want to print,  put Tuesday’s date in both the first (start) date box and Tuesday’s date (Same date) in the second (Finish) date box.  If this was one of those weeks when the Principal was going to be out Friday and you need to write both game checks,  simply put Monday’s date in the first box and Friday or Saturday’s date in the second box.  Now hit the PRINT PREVIEW Button; don’t worry, it is not going to print yet.  This program always gives you the advantage to see what you are going to print before it actually prints.  That is a good feature in that if this is not what you want, you have not wasted a bunch of paper.  Now this is a printable assignment slip for the Bookkeeper that includes the name, the game fee amount and there is the social security number on the assignment slip. Note:  This is a security feature installed by the programmers in Utah.  This is the only place in the ARBITER where you will find Social Security Numbers.  With identity theft on the rise,  the programmers felt they should only provide the SSNs on a need to know basis.  Bookkeepers, are the only people that need that number and they can not get it off any list.  They get it if they print an assignment slip.  Okay, if this page looks like what you want, print it in any normal manner; click FILE then PRINT or find another PRINTER Icon in one of your tool bars above. 

Note:  Remembering that schools change schedules at the last minute, officials have problems and cancel at the last minute also.  For that reason,  I do not recommend printing assignment slips too far in advance.

 

IX. – Tips You Might not Know – This section contains tips that will help both the official and the contact be aware of some of the advantages the program offers.

Officials & Contacts – At the MAIN Page, to see a list of Officials, click on LISTS. 

Officials  & Contacts – After clicking LIST, to print a Roster, click on Roster in the left column under REPORTS. Before Printing, program will ask if you want Phone # and email. Proceed to print.

Officials & Contacts – If you need to change your phone # or your address, Click PROFILE, then click INFORMATION on the line under PROFILE. Edit you information.

Officials & Contacts -  When Clicking on any name while in the program, a drop down screen will show address and Phone Numbers.
